Summary:

The Facilities Supervisor demonstrates advanced knowledge of the concepts, practices and procedures of the Facilities Work Order Management System, Personnel, and Support Staff insuring a safe, efficient, cost effective operation of the Facilities Services.The Facilities Supervisor plans, coordinates, operates, maintains and schedules various facilities repairs, maintenance tasks, internal construction projects, and other Facilities related needs as they arise. This position serves as a professional liaison between the Facilities Department, Hospital Leadership and Staff and Vendors as required. Assists developing annual capital budgets, operating budgets and overall strategy.


Responsibilities:

Works with the Administrative Director and department managers of Maintenance, Plant and Construction in developing plans for improving work order initiation, monitoring progress and ensuring work completion in the system. Interfaces with and represents all Department Leadership with professional vendors and consultants and makes recommendations on scheduling, workflow, prioritization of workload, and all aspects of the Work Order system.


Assists with the development of budgets for all cost center and the allocation of resources within budget limits (including personal, services, space, supplies and equipment) to accomplish the objectives of the organization and assure quality outcomes.

Interprets information, ideas and instructions and communicates clearly and accurately; both verbally and in writing, including materials intended for distribution. Determines causes of unusual occurrences and applies standard principles and practices to determine causes and implement solutions.

Facilitates program development; coordinates the development and maintenance of policies and procedures.

Maintains record keeping system on maintenance, preventive maintenance, empowers personnel in documentation, record keeping, and statistical analyses.

Oversees the Property Management operations. Includes documentation oversight for properties acquired and managing and identifying upcoming renewal or termination dates, coordinating with Administrative Director with critical dates and being the liaison between landlord and the hospital for essential communication.

Manages all associated documentation in the Hospital contract management system for Facilities, Property Management and Service management agreements. Monitoring for contract expirations and needed renewals.

Coordinates all Fleet Services operations for the organization, including acquisitions, registration renewals, maintenance repairs, communication with other department staff and leadership about Fleet status.

Manages Administrative Director schedules, appointments, and is liaison between Administrative Director and other Hospital leadership

Assists with management of the key control system, coordinating key assignment to staff as needed and managing all key records.

Manages all aspects of the department invoice and payment process. Coordinating between department leaders and processing invoices and payments through the Finance Department.

Coaching employees as needed for success; interviews, trains, mentors and evaluates their work, merit increases, time off, disciplinary actions and terminations; implements and interprets hospital and department policies and procedures; supervises workers engaged in the Work Order process and assigns staff and assists prioritizing projects.

Performs other duties as assigned or requested.
