Summary:
The Language Services Coordinator is responsible for organizing, scheduling, and managing language interpretation and translation services to ensure effective communication across diverse languages and cultures. This role works closely with internal departments, external vendors, and community partners to meet the organization’s language access needs while maintaining high standards for accuracy, confidentiality, and cultural sensitivity.
Responsibilities:
Scheduling & Coordination: Schedules and assigns interpreters and translators for in-person, phone, and virtual appointments. Coordinates with internal departments to assess language service needs. Tracks interpreter availability and manage last-minute requests.
Quality & Compliance: Ensures all language services meet organizational quality and safety standards, cultural competency and ethical guidelines, and relevant legal, compliance, and/or regulatory requirements (e.g., ADA, Title VI). Maintains confidentiality of sensitive information in compliance with HIPAA and other applicable laws.
Vendor & Resource Management: Maintains relationships with contracted language service providers and freelance interpreters/translators. Monitors vendor performance. Updates and maintains an approved interpreter roster. Supports internal and external technology adoption/maintenance for the organization through vendor partnerships. Partners with external agencies to understand, discover, and share best practices associated with language services.
Training, Outreach, & Relationship Management: Provides guidance and best practices to leaders, staff, and clinicians requesting and working with interpreters. Supports initiatives to improve language access across the organization. Requires flexible scheduling to accommodate urgent requests. Helps design and oversees training and medical interpretation certification/qualification. Works with teams, leaders, and clinicians across the organization to promote understanding of language services and health literacy.
Track and Report Service Usage: Maintains detailed records, track metrics, and prepares reports on language service utilization and trends. Interprets trends in data and relevant information for oversight to leadership.
Administrative Support: Processes invoices and tracks usage for budget reporting. Maintains accurate records of all service requests and completions. Prepares regular reports on language services usage and trends. Supports and leads meetings as assigned. Presents information associated with language services at an expert level.
Supports Learning and Continuous Improvement: Identifies opportunities to enhance efficiency, accessibility, and cultural responsiveness in language service delivery. Stays up to date on relevant language services and health literacy best practices.

Minimum Requirements:
Bachelor’s degree in a related field (e.g., communications, linguistics, public administration) or equivalent work experience.
