Summary:

Facilities Specialist position demonstrates intermediate knowledge of the concepts, practices and procedures of Facilities and Design/Construction services; performs intermediate tasks in Facilities, Construction and Property Management by use of appropriate organizational skills and associated applications while continuously building on current job knowledge. Maintains effective relationships and communication skills with peers, vendors/contractors, department leadership and others in a diverse environment. Supports team decisions and follows through with team responsibilities. Interprets information, ideas and instructions and communicates clearly and accurately; both verbally and in writing, including materials intended for distribution. Determines causes of unusual occurrences and applies standard principles and practices to determine causes and implement solutions. Ensures safe practices and environmental consciousness are exhibited in decisions; typically working under general supervision, while performing assignments that are varied and that may be somewhat difficult in character, but usually involve limited responsibility.


Responsibilities:

Collect and compile data; evaluate work order or process requests; develop ad-hoc reporting and project status updates as requested by facilities and hospital leadership. 

Follow established program/system designs; collect, review, input, update and assemble data for use and analysis. 

Adhere to and function within established Hospital policies and procedures, assuring all aspects of a safe working environment for staff, patients and visitors. Identify and report potential deficiencies with existing policies and procedures. 

Explore, identify and participate in initiatives, processes and procedures to improve operational efficiencies while assuring quality within Hospital policies; review and suggest ideas for improvement initiatives. 

Interact with various hospital leadership, and staff to refer/resolve problems associated with assigned work activities; seek customer feedback to prevent reoccurrence of issue in the future; may be responsible for preparing for and running project or scheduling meetings. 

Act as liaison with Operations staff and customers in updating and maintaining a current and accurate database (which may include: work orders, preventative maintenance, job schedules, project and job updates, overall Operations work sequencing). 

Provide resources, maintain awareness and make use of continuous quality improvement tools Provide resources, maintain awareness and promote an environment that recognizes the value of equality and diversity in the workplace. 

Support the Administrative Director of Support Services through management of calendar & scheduling, coordinating meetings, creation and review of documents pertaining to the Administrative Directors workload. Helping to schedule and coordinate meetings associated with Construction and design.

Coordinate invoicing and payments of construction Pay Apps as approved by Construction Leadership. Responsible for organization, documentation, payment and coordination associated with Property Management as directed by the Administrative Director of Support Services.

Responsible for various aspects of Support Services falling under Facilities Management such as Fleet Management & Pest Control. 

Support Services point person for MediTract system input and tracking of contracted processes. 


Requirements:

Education/Certifications: Associate degree Preferred or an equivalent combination of education and experience (3-5 years) 

Skill: Proficient skills in all aspects of MicroSoft Office Experience: 3-5 years of related experience
